The concept behind our Lean Law Firm approach is derived from TOYOTA’s Lean Management System (TPS) and lends itself exceptionally well to law firms by focusing on waste reduction, process flow, and continuous improvement. Instead of cars, law firms handle legal cases.
Reducing Waste in the Law Firm
- Waiting times: Client files sit unprocessed on desks, or approvals from partners delay the workflow.
- Overprocessing: Excessively long, complicated pleadings or overly detailed reviews that the client neither pays for nor needs.
- Backlogs: Unprocessed stacks of cases or unopened email inboxes obscure the big picture.
Flow and Timing (Just-in-Time)
- Value Stream Analysis: Map out the path of an assignment step by step, from initial contact to billing, and remove any obstacles that slow it down.
- Pull Principle: Do not forward or accept work until the next person in the process is actually able to handle it—similar to Toyota’s Kanban system.
- Standardization: Use fixed checklists and boilerplate text for recurring standard assignments (e.g., company formations, standard contracts) to ensure quality and save time.
Culture and Error Management
- Visual Management: Use of digital Kanban boards or task boards so that the status of each case is immediately visible to the entire team.
- Jidoka (Stop When Errors Occur): When errors occur in legal briefs or deadlines, immediately halt the process, identify the cause, and correct the error, rather than passing it on unnoticed.
- Kaizen (Continuous Improvement): Encourage the entire team to suggest small improvements in the firm’s daily operations during regular, brief meetings (Jour Fixe).
As part of our process analyses, we leave no stone unturned. We’ll show you how to boost your competitiveness and significantly improve your productivity through automation. Our focus is on the transformation toward agile structures, the transition to fixed-price models, and adherence to established compliance requirements.
